What is Drivible and who is it for?

Drivible is a cloud-based document storage and management solution designed specifically for Australian car dealerships. It enables sales, service, and finance teams to securely digitise, store, search, and retrieve all dealership critical documents. All while meeting industry compliance and audit requirements. We support everything from Repair Orders, Deal Packs, Finance Applications, Account Invoices, Test Drives and Parts requests to simply any other document type you define.

What are the main benefits of using Drivible?

Drivible digitises and streamlines paperwork, saves time spent on document retrieval, enables compliance with retention guidelines, allows for efficient audits, integrates with payment systems, and supports digital workflows such as eSign and Client payments.

How do I sign up?

What is the onboarding process for a dealership?

A dealership typically sets up users, configures the unique Drivible email addresses into their scanner, links their DMS for automatic imports, and defines user permissions. The team can start going digital immediately, but not backscan lots of paperwork. You can contact us if you want to scan your existing paperwork.

Instead most Dealerships spend a week or two starting the scanning process then from a specified date converts over to using Drivible for all content from then on. Dedicated online support pages are available and onboarding assistance can be requested.

Is there staff training and documentation?

Yes. We have comprehensive written content on our support portal. New users also receive onboarding guidance and access to regular customer support for troubleshooting and workflow optimisation.

Should you need an in-person training session then those are available at a cost (usually a few thousand dollars).

Document Storage, Upload & Search

How do I upload documents to Drivible?

You can upload documents by:

  • Emailing scans directly from your office scanner or DMS using your dealership's unique Drivible email address

  • Manually uploading files through the web platform

  • Using Bulk Document processing, where entire stacks of Repair Orders or documents are scanned and automatically split by Drivible’s systems.

How do I find my documents once uploaded?

The first page of all documents are DocAI processed making them instantly searchable by key fields (e.g., RO# Document Number, VIN, rego, client name, Mobile number). All the pages are also OCR-processed with detectable words used in our full text search. We also have pane search, advanced table filtering and bulk exporting to CSV.

Bulk Document Processing

How does Drivible's bulk document scanning work?

You can scan a stack of Repair Orders or similar documents in a single batch. Drivible detects page breaks, automatically splits documents, extracts key data fields and makes each item individually searchable. Custom physical stamps with the word "DRIVIBLE", "X@X", or "NEWPAGE" can help further improve page separation accuracy. Alternatively many Dealerships get their DMS to update their template with these keywords.

What if Drivible does not correctly split or detect a document?

Your document is still scanned with Optical Character Recognition (OCR) on every page and the contents generally searchable. If you are Bulk Document processing a stack of Repair Orders, make sure that the RO number on the first page is correctly detected and you aren't using a cover page, especially if it doesn't show the RO number and other details. The first page matters a lot as we use it to derive the expected look of other similar first pages, including the size and location of the RO number. If scanning other document types then we only support keyword based splitting, looking for any of the keywords DRIVIBLE X@X NEWPAGE

What if Drivible doesn't detect the fields correctly?

If you are manually uploading a file and the fields aren't prefilled as expected use magic wand button to flag errors for AI retraining.

We use an AI (Machine Learning) system to detect and extract the important fields on the first page of the document. When we haven't seen a new document template we will sometimes need up to 200 examples to properly train the document.

The platform is improved based on user uploaded examples, so flagging documents which have had issues helps us know what to retrain the machine learning models on, so they become more accurate over time.

eSignatures, Payments & Workflow Automation

Can I use electronic signatures with Drivible?

Yes. Drivible offers built-in eSign functionality:

  • Send contracts and documents for remote signature

  • Track acceptance, get audit trails (IP, device, timestamp)

  • Use in parallel with deposit requests for seamless processing

  • Allow clients to view AI-generated summaries of legal terms before accepting.

How does Drivible handle remote payments?

Drivible allows payments for Deal Deposits, Service Invoices or Parts. We are integrated with Stripe and our system can help create an account with Stripe if you don't have one for us to connect with.

Our system helps payment collection by using secure SMS/email links to our custom portal. Customers can use credit card, Apple Pay, or Google Pay. Payment reconciliation is automated, and deal deposits can be bundled with eSign requests for deals.

Reviews & Client Feedback

How are reviews collected and displayed in Drivible?

Drivible can automatically send review requests after services, deliveries, or test drives (via SMS/email). Clients provide quick feedback through our secure portal. Results can trigger notifications based on rating thresholds and are easily reviewed in Drivible's Event Feed. We also can send Clients to your Facebook or Google location pages to review your Dealership there.

User Management & Permissions

Who can access which documents?

User access is controlled by role-based permissions (Sales, Service, Finance, Dealership Admin, Group Admin, etc..). Users can invite other staff, whilst admins can create them directly, define their roles and activate accounts. We've got a detailed per person ability to restrict access to different types of records. A very powerful access control system.

Our Other Documents system has even more per document or role control.

How do I create or invite a new user?

Admins can invite new users using the Invite User function or directly create them in the Admin panel. Users receive a setup email and can be assigned roles that control their document visibility and permissions.

Security, Compliance & Data Retention

How secure is Drivible?

All documents are stored in the cloud with industry standard security via AWS and Google Cloud, with at least seven years retention for compliance. Access is tightly controlled, and all file access activity is audited in logs and record changes tracked. There have been zero lost files since launch. Personal data and payment details are encrypted and never shared with third parties.

Note that whilst we've not lost any files that have been successfully uploaded to Drivible, there is often still human error or issues with scanners and not all files are properly scanned. We still find Dealerships have a better success rate with Drivible than with their own paper storage solutions. There's also the capability of uploading a CSV from from your DMS with all your Deals or Services and reviewing which ones don't have documents, letting you identify which files are missing, something that would not really be possible with most other storage systems.

What happens to my documents if my subscription ends?

You can export a copy of the fields via CSV. We've not yet had requests for bulk file downloads but do have the feature on our roadmap. If a dealership no longer wants to actively use Drivible we find they'll downgrade to the Free plan and keep a couple of users who have access to what was uploaded. Files are stored for a minimum of 7 years, and Drivible has no lock-in contracts or penalties for cancellation.

Troubleshooting & Support

What should I do if my document isn't found or fields are missing?

Check that the first page is the main contract or order (AI extracts data from page one). You can use our table view and filters to search with more granularly. For complex cases, report the issue so the Drivible support team can investigate and improve our model accuracy. In extreme cases we can do a very deep dive search over the original files, but so far those have never found a result that our standard search hasn't uncovered.

Can I get help if I run into technical difficulties?

Yes, live chat and documentation are available. Recorded screen sessions or error details submitted through the platform (with the chat button in the bottom right) or by emailing support@drivible.com help accelerates troubleshooting. Common fixes include refreshing the browser, adjusting scanner settings, checking permissions, or reprocessing uploads.

There is a Free Starter plan (50 docs/month), individual, team (up to 10 users), and full dealership plans (up to 20 users) at ~$26/user/month. Pricing is transparent, cancellable anytime, with discounts for annual payment. You can start with a no-commitment free plan.

Integrations & Compatibility

Which DMS or scanner systems does Drivible work with?

Drivible is scanner, DMS, and email agnostic. Simply set your scanner or DMS report to send PDFs to your Drivible email address. Bulk uploads and direct CSV imports are also supported. Alternatively you can manually upload files on the platform.

Mobile Use & Accessibility

Is there a mobile or app version of Drivible?

Drivible’s web client is mobile-friendly and compatible with any desktop or tablet browser. No separate app is needed. eSign and payment requests can be completed by Clients or Companies from any modern smartphone or computer.

Special Use Cases

Can I customise document types or workflows?

Yes, you can create custom document types with tailored access controls, labels, and searchable fields. The Other Documents feature adds flexibility for non-standard paperwork.
